Privacy Policy

1. Who we are and what this policy covers

Practice Success is operated by Practice Success Collective Pty Ltd (ABN 72 166 023 721) (Practice Success, we, us or our).

We provide education, events, online masterclasses, memberships, community services, digital resources and introductions to independent expert partners for medical, dental, specialist and veterinary practice owners and professionals.

This Privacy Policy explains how we collect, hold, use and disclose personal information through practicesuccess.org and related pages, registration forms, member portals, events, communications and services.

We intend to handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply to us.

2. The personal information we collect

The information we collect depends on how you interact with us and may include:

- Identity and contact details, such as your name, email address, telephone number, postal address and location.

- Professional and business details, such as your role, practice type, organisation, specialty, business interests and event preferences.

- Account and membership details, including login details, membership status, registrations, attendance, course progress, certificates and continuing professional development records.

- Communications, survey responses, enquiries, feedback, competition entries, complaints and preferences, including marketing and SMS choices.

- Community contributions, profile information and content you submit to member areas, webinars, events or discussion spaces.

- Technical and usage information, including your IP address, browser and device information, referring pages, pages viewed, approximate location, cookie identifiers and interaction data.

Our services are directed to practice owners and professionals, not patients. Please do not provide patient records, clinical information or other sensitive information through our forms, community spaces or general contact channels.

If you voluntarily provide sensitive information, we will handle it only with your consent or as otherwise permitted by law.

3. How we collect personal information

We usually collect personal information directly from you when you:

- Complete a form.

- Register for or attend an event.

- Join a waitlist or membership.

- Create an account.

- Contact us.

- Participate in a survey.

- Contribute to a community.

We may also collect information:

- From an organisation that registers you, an event co-host, referrer or independent expert partner, where authorised.

- From publicly available professional sources and social media.

- Automatically through cookies, pixels, logs and similar technologies.

- From service providers that help us operate events, communications, websites, analytics, security and member services.

Where lawful and practicable, you may interact with us anonymously or using a pseudonym. We may require accurate identifying details to register you, provide access to our services, manage an account, issue records or respond to a request.

4. Why we collect, use and disclose information

We collect, hold, use and disclose personal information to:

- Provide and administer events, masterclasses, memberships, communities, member portals and digital resources.

- Process registrations, manage memberships, maintain records and provide support.

- Communicate service notices, reminders, updates, certificates and information you request.

- Personalise and improve our content, website, events and services.

- Understand audience engagement.

- Facilitate networking, community participation and requested introductions.

- Send Practice Success news, education and event information where permitted by law.

- Share your details with an event organiser, presenter, panellist or expert partner for relevant communications where you have consented or would reasonably expect it.

- Detect and prevent misuse and security incidents, enforce our terms, and protect people and our rights.

- Comply with legal obligations, resolve disputes and support business administration and reporting.

If we cannot collect information required for a particular service, we may be unable to register you, provide access or respond fully to your request.

5. Marketing, email and SMS

We may send electronic marketing messages where you have consented, where consent can be inferred under applicable law or where another lawful basis applies.

You can unsubscribe from marketing emails using the unsubscribe link and opt out of marketing SMS messages by replying STOP. You can also contact us directly.

We may still send non-marketing messages needed to administer a registration, account, membership or event.

If you separately choose to receive information from event organisers, presenters, panellists or expert partners, those parties may use the details covered by that choice under their own privacy practices.

We will not treat a refusal of optional partner marketing as a refusal of essential event communications.

6. Cookies and online technologies

We and our service providers use necessary cookies and similar technologies to operate forms, logins, security and website functions.

Subject to your choices and applicable law, we may also use analytics, preference and advertising technologies to measure traffic, understand engagement, improve our services and support relevant communications.

These technologies may collect technical and usage information and may recognise your browser over time.

You can manage cookies through any consent tool we provide and through your browser settings. Blocking some cookies may affect forms, logins or other website functions.

Where third-party content is embedded, that provider may set its own cookies or collect information under its privacy policy.

7. Who we disclose information to

We may disclose personal information, where reasonably necessary, to:

- Website, hosting, CRM, member-platform, cloud-storage, analytics, cybersecurity and technical-support providers.

- Email, SMS, webinar, video, event-management, survey and communications providers.

- Venues, event contractors, co-hosts and speakers where required to deliver an event.

- Independent expert partners or presenters where you request an introduction or consent to their communications.

- Our personnel, contractors and related entities where needed to operate our services.

- Regulators, courts, law-enforcement bodies and other recipients where required or authorised by law.

Independent experts are not our employees merely because they appear on our website or at an event. If you engage them directly, they will collect and handle information under their own terms and privacy policies.

8. Overseas disclosures

Some technology, communications, cloud and support providers may store or access personal information outside Australia.

Our current provider arrangements are likely to involve recipients in the United States and may involve other countries where a provider or its subprocessors operate.

Provider locations can change. Contact us if you would like current information about likely overseas locations relevant to your data.

Where the Privacy Act applies, we take reasonable steps in relation to overseas disclosures as required by Australian Privacy Principle 8.

9. Security and retention

We use reasonable administrative, technical and physical safeguards designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

No internet transmission or storage system is completely secure.

We retain personal information for as long as reasonably needed for the purposes described in this policy, to maintain legitimate business and attendance records, and to meet legal, regulatory and dispute-resolution requirements.

We then take reasonable steps to destroy or de-identify the information unless its retention is required or authorised by law.

If an eligible data breach occurs, we will assess and notify affected individuals and the Office of the Australian Information Commissioner as required by law.

10. Access and correction

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

Contact us using the details below. We may verify your identity and may refuse or limit a request where permitted by law. If so, we will generally explain why and outline any available complaint options.

11. Privacy complaints

Send a written privacy complaint to us using the details below and include enough information for us to investigate.

We will acknowledge and investigate the complaint and aim to respond within 30 days.

If you are not satisfied after giving us a reasonable opportunity to respond, you may contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

12. Children

Our services are intended for adults acting in a professional or business capacity.

We do not knowingly seek personal information from children under 18. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

13. Automated decisions

We do not currently arrange for computer programs to use personal information to make decisions that could reasonably be expected to significantly affect an individual’s rights or interests.

If that changes, we will update this policy with the information required by applicable law.

14. Changes to this policy

We may update this policy to reflect changes to our practices, services or legal obligations.

The current version will be published on our website with its effective date. We will take additional steps to notify you where a change is material and the law requires notice or consent.
